Part 1 — Privacy Policy

This privacy policy explains how the Koninklijk Gallois Genootschap (Royal Gallois Society), hereinafter referred to as “we”, “us” or “KGG”, processes your personal data when you visit our website gallois.be, register for an event or newsletter, or contact us. We process your data in accordance with the General Data Protection Regulation (GDPR).

2. What data do we process and why?

We only process the data necessary for the purposes below. For each purpose we indicate which data we use and on what legal basis.

1. a) Membership administration

• Data: name, first name, address, e-mail address, telephone number, membership number and membership-fee payment details.
• Purpose: managing membership, collecting membership fees, communicating about the association’s activities.
• Legal basis: performance of the membership agreement (Art. 6.1.b GDPR).

1. b) Registrations for lectures, meetings and events

• Data: name, first name and e-mail address.
• Purpose: organising lectures and events, confirming your registration and informing you of practical details.
• Legal basis: performance of a contract or your consent (Art. 6.1.b or 6.1.a GDPR).

1. c) Contact form and e-mail contact

• Data: name, e-mail address and the content of your message.
• Purpose: answering your question or message.
• Legal basis: our legitimate interest in responding to requests (Art. 6.1.f GDPR).

1. d) Newsletter

• Data: name and e-mail address.
• Purpose: keeping you informed about activities, lectures and news.
• Legal basis: your consent (Art. 6.1.a GDPR). You can unsubscribe at any time via the link at the bottom of every newsletter.

1. e) Website visits and cookies

• Data: technical data such as IP address, browser type and browsing behaviour, via cookies and similar technologies.
• Purpose: making the website work properly and (subject to consent) analysing its use.
• Legal basis: legitimate interest for strictly necessary cookies and your consent for all other cookies. See Part 2 — Cookie Policy.

3. How long do we keep your data?

We do not keep your data longer than necessary:

• Member data: as long as you are a member and up to 5 years after the end of the membership (among other things, for legal and accounting obligations).
• Contact and event data: up to 13 months after the event.
• Newsletter: until you unsubscribe or withdraw your consent.
• Cookies: according to the retention periods in the cookie policy (Part 2).

4. Who do we share your data with?

We never sell your data. We only share it with the following categories of recipients: our hosting provider (one.com); the providers of our CMS and page builder (WordPress and Elementor); our newsletter provider; and Google’s analytics and security services (Google Analytics and reCAPTCHA). We conclude data processing agreements with these service providers. In addition, we share data with authorities or bodies when we are legally required to do so. Some of these services (including Google) may process data outside the European Economic Area; in that case appropriate safeguards apply, such as the European Commission’s standard contractual clauses.

5. How do we protect your data?

We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access, including a secure (HTTPS) connection and restricted access to the data.

6. Your rights

Under the GDPR you have the right to:

• access your data and request a copy;
• have inaccurate data corrected;
• have your data erased (“right to be forgotten”);
• restrict the processing or object to it;
• receive your data in a portable format (data portability);
• withdraw your consent (this does not affect processing that took place beforehand).

Part 2 — Cookie Policy

This cookie policy explains which cookies and similar technologies we use on gallois.be, why we use them and how you can manage your preferences. This policy goes together with the privacy policy (Part 1).

1. What are cookies?

Cookies are small text files that are placed on your device (computer, tablet, smartphone) when you visit a website. They allow the website to recognise your device and, for example, remember your preferences. In addition to cookies, there are similar technologies such as tracking pixels; where we write “cookies”, we also mean those techniques.

2. Which cookies do we use?

We divide our cookies into three categories: functional and strictly necessary cookies (no consent required), statistical cookies and marketing cookies (consent required). Consent is managed on our website via a cookie banner (Complianz); you can change your choice at any time.

These cookies help us understand how visitors use the website.

You also use WP Statistics, which is privacy-friendly and works without identifiable cookies by default; check whether it nevertheless places cookies in your configuration. Google Site Kit is installed but not yet configured — once active it may add additional Google cookies.

 

1. c) Marketing cookies (consent required)

These cookies only appear when external media are embedded, e.g. YouTube videos via EmbedPress or Elementor. If you do not embed videos or maps, this table may be removed.

3. Giving, refusing or withdrawing your consent

On your first visit we show a cookie banner that lets you:

• accept all non-essential cookies, or
• refuse all non-essential cookies (as easily as accepting them), or
• set your preferences per category.

You can change or withdraw your choice at any time via the “Cookie settings” link at the bottom of every page. Withdrawing your consent is as easy as giving it and does not affect cookies that were already placed beforehand.

4. Managing cookies via your browser

You can also manage or delete cookies via your browser settings. Please note that disabling certain cookies may affect the operation of the website. You can find more information in your browser’s help pages (Chrome, Firefox, Edge, Safari) under “managing cookies”.
